From paper referrals to a tracked digital workflow
Illustrative example, not a completed client project. The scenario and potential benefits below explain a possible approach; they are not verified client results.
The problem
Referrals arrived on paper, by email and by phone, then were retyped into several lists. Reporting was slow and incomplete.
Previous process
A paper form sat in a tray. Someone typed it into a spreadsheet, emailed a colleague, and filed the paper. If a field was missing, the trail went cold. Board reports meant counting rows by hand.
Proposed solution
A digital referral form with required fields, a simple internal queue, status updates and a reporting view. Staff were trained on the new path and the old paper route was retired once the team was confident.
Intended outcome
Every referral has a home. Staff can see what is waiting, and managers can report without rebuilding the numbers.
